    To Balance, or Not to Balance, is not really a question...

    Let's start with a pop quiz question.

    How often should you balance/reconcile the GL to subsidiary ledgers?

    1. Never
    2. Occasionally
    3. Just before annual audit
    4. Monthly

    We all know the answer. And yes, there is only one right answer.

    Do a Google search on "reconciling the GL" and like with any Google search you will get thousands of hits. But this one was toward the top of the list: "Reconciling the balances in the Accounts Receivable module with AR accounts in General Ledger is an important step and should be done as part of the month-end closing process. If a monthly reconciliation is done, the proper documentation will be available if an audit is performed, and any differences that exist between the two modules can be caught and corrected before the period is closed." That one is from Microsoft. I underlined what I feel are two key points in that statement.

    Before I continue, let's try to define the difference between "reconciling" and "balancing". One definition doing another Google search said this: "Reconciliation is an accounting process that uses two sets of records to ensure figures are correct and in agreement. It confirms whether the money leaving an account matches the amount that's been spent, ensuring the two are balanced at the end of the recording period."

    Power BI is here!!

    Many utilities have taken a dive into their data with Business Intelligence. The next level of BI is here - Power BI. Power BI is an online, interactive BI tool. PCS developed a library of parts, so users can quickly visualize, filter and drill into data. Users can also create customized dashboards with the click of a button. Initial pre-built parts include Connect payment trends, revenue and usage trends, service orders, top consumers and Insight actual vs budget analysis, cash analysis, depreciation analysis and financial statics and ratios.

    Would You Like A Receipt?

    Utilit-e Online now provides the option to View and/or Email a receipt. Upon completing a payment. The View Receipt and Email Receipt buttons display on the screen under the message stating the payment was successful.

    This functionality is available with release 7.0.703. The ability to email the receipt also requires that you have the Integrated Messaging (IM) module licensed. If you are emailing notifications to your customers that their statement is available online and or that their payment has posted, for example, then you already have IM. If you are interested in implementing the Online receipt capabilities, please contact your Connect support person.

    Points from PSN

    Consolidating Bank-Initiated Customer Payments

    If you would like to...

    • Eliminate bank-issued paper checks
    • Eliminate multiple electronic bank deposits

    ...then PSN's Bank Bill Pay e-Solution is the way to go. Customer payments initiated in their banks' bill payment systems either arrive many days later as paper checks or are directly deposited, both of which must be manually processed and posted by your staff. Eliminate the hassle.

    HOW IT WORKS:

    PSN "captures" the payment from the bank, makes it an ePayment and processes it through the PSN system. The PSN system automatically recognizes the customer number and automatically posts it to your software, while routing funds to your depository account. If any customer numbers do not match your customer data file, PSN staff researches and then corrects the issue so it is a match for all future payments. The result: payments are consolidated with other PSN payments resulting in one reconciliation report.

    • View payments in real time-just like an online payment
    • Eliminate 99% or more of labor-intensive, hard-to-reconcile paper checks and electronic deposits
    • Bank bill payments are consolidated with all other PSN payments for one deposit and one reconciliation
    • Payments are automatically posted to your software to reduce manual input and errors
    • Customer payments posted more quickly to your software
    • Enhances the customer experience by allowing more options for making payments
    • Faster deposit times

    BONUS:

    You can also accept cash and turn it into an ePayment by signing up for PSN's Bank Bill Pay eSolution. PSN provides a list of cash acceptance sites in your area; you choose at which locations you want to allow customers to make payments. For more information, contact your PSN Service Account Manager.

    Notification of PSN IP Address Change

    By now you have probably all seen the notice sent out by PSN informing everyone of an IP address change. PCS has been fielding numerous questions in regards to this. The big question is “What do we have to do?”. The answer is nothing.

    All payments processed through PCS/PSN go through a common point here at PCS. That is the point where the potential need for an IP address change would occur. PCS uses DNS names as opposed to IP addresses, so no change is required when PSN makes their IP address changes.

    Introducing Heather Fineran, Project Analyst on the Insight Team

    Heather joined PCS in mid-December. Loving a challenge Heather pursued business and computer programming after high school. Following that, Heather owned and operated her own business in Denison for 15 years. Heather has an extensive background in customer service and is a proven problem solver. Her goal is to help make our clients jobs easier!

    Heather has been busy with training and is now beginning to take calls. Feel free to ask for Heather when calling about accounting!

    Annual User Group Meeting

    Planning for the 2018 Annual User Group Meeting is in full swing. Surveys have been sent to get your opinions on new sessions. If you haven't already done so, please reply so your voice is heard!

    The dates for this year's meeting are Monday June 4th through Thursday June 7th. Both Boulders Inn & Suites have their entire facilities blocked off for our group. Reservations can be made by calling 866-430-2692 for the Majestic Hills location or 800-239-0253 for the Oak Ridge location.
