    2018 Payroll tax changes

    An email was sent to all clients on 12/18/2017 that contained a document listing the known changes for 2018 tax changes, 401k limits, etc. As of 1/10/2018 the IRS has published new tax tables, a link is provided. https://www.irs.gov/pub/irs-pdf/n1036.pdf.

    A reminder that 1095 ACA forms must be processed by January 31, 2018

    Changes in recent Utilit-e Insight updates

    We have been updating many of you to the latest PCS software release. From an Insight standpoint, the biggest change has been to the Payroll module. From a technical standpoint, we are migrating Payroll out of the VB6 programming language and putting it into .NET. The biggest visual change for you is this allows you to hide and resize columns in grids on the screen, such as the timesheet entry screen. One enhancement we have made to the timesheet screen is the ability to save and then re-use a timesheet. An example is a timesheet batch for cell phone reimbursement, or life insurance over $50K. You can save that batch and then use it again next month or in the future to create a new batch without having to key it in from scratch. Cool. At this point we have most of the screens moved to .NET and the last set of screens is scheduled to be completed by March 30, 2018. Starting later in the first quarter we will then start making some enhancements to the Payroll system. One example is the ability to fully void a payroll check. Yay! And we have some cleanup of benefit accrual timing to work on.

    If you use bins in Inventory, our latest release also has some improvements to that process, specifically the ability to more easily move an item from one bin to another. We've also added the ability to make an entire warehouse, or an individual bin, inactive. We will be scheduling a webinar soon to demonstrate this functionality.

    What Release Do We Have?

    You commonly hear us talk about or see articles on new features or bug fixes that are in this release or that release - 7.0.650, 7.0.678 or 7.0.700... How often do you think - but what release do we have today? That is a commonly asked question. To help answer it, let us show you a couple of ways you can find the answer within any module in Connect or Insight.

    First, when you initially login the version or release is always displayed in the lower left-hand corner of the login screen.

    Once you are signed in, you can also see what version/release you have from inside any module. This can be done by clicking "Help" off the top menu bar and then selecting "About". This will pop up a screen that displays the version/release.

    PSN - Ending Support of Legacy Encryption Methods

    You may recall having seen this notice from PSN in the recent past. And your questions have probably been "what does this mean to me?".

    The good news of the day is that you are already prepared for this change. You may or may not remember but back in 2016 we went through a communication and education process to prepare for the disabling of Transport Layer Security (TLS) 1.0. The steps taken at that time also prepared you for the disabling of TLS 1.1.

    At that time, an effort was undertaken to ensure that everyone's servers were set to accept TLS 1.1 and 1.2. PCS took care of this for all clients in the Utilit-e Central hosting center. Additionally, PCS reached out to all in house clients to confirm they made the needed changes also.

    The only difference from what was done in 2016 to now, is that PSN is disabling the support of TLS 1.1 also. Since TLS 1.2 was enabled with the efforts in 2016, everything is good to go.

    Receipts - What's New?

    Recent development done in R7.0.650 focused on making some enhancements to the receipt capabilities. There were new capabilities added, additions to some existing functionality and cleanup of a couple bugs. Following is a list of the specific enhancements.

    1. Add ability to view, print or email a receipt for any payment (Connect accounts, Insight ARO accounts, miscellaneous payable items, or any combination thereof) from any of the following:
      • Cashiering Module -
        • Input Payments - OTC screen
      • Customer Service Module
        • Payment Options Screen, Pay Now
        • AR Balance Screen - pending payments
        • AR Detail Screen
        • Prepayment History Screen
      • Utilit-e Online
        • This will be available in the first quarter of 2018.
      • Utilit-e Insight ARO Module
    2. Added date and time to the printed receipt - time of payment and when receipt was printed.
    3. Created a new screen in the Cashiering module to view, print and/or email a receipt with the following search items:
      • Payment date (date range)
      • Payment amount
      • Account - Connect and ARO
      • Name
      • Payable type
      • Cash batch and contact
    4. Eliminate receipt database
      • This will no longer be needed as any receipt - new or historical - will be able to be produced on demand.
    5. Log the receipt emails that are sent
    6. Miscellaneous receipt fixes:
      • Receipt for cashing a check will not be blank
      • Display user friendly error message upon submit when receipt printer is not setup.
      • Prepay receipt if payment is for both debt recovery and accounts receivable is corrected.

    Some of you already have this release and may be utilizing these features. Others just need to get an upgrade to take advantage of these new enhancements. The ability to email a receipt does require the Integrated Messaging (IM) module as it is utilized to push out the emails. So, if you are not yet using the IM module, that will have to be implemented which does include a small license, maintenance and support component.

    Earlier this week the IT world was a buzz due to a new vulnerability called "Spectre/Meltdown". This new threat caused companies like Sophos to get mediation out quickly. For our Utilit-e Central hosting clients the ITS team has implemented the Sophos software for this vulnerability and is continuing to apply Microsoft patches as needed.     Carl comes to PCS will 25 years' experience in the telecommunications and data networking field. He discovered his love for this field during his time in the United States Marine Corps. While Carl is a stickler for details, he can be adaptive to changing circumstances as well. In his spare time Carl enjoys woodworking, fishing, landscaping and flying private airplanes.
